Who owns the Data and what do you do with it?

Clients retain full ownership of their data and we do not share it with anyone as per regional privacy laws of the region being serviced. That is explicitly stated in our standard contract and we also sign Business Associate Agreements. Ortech acts only as a custodian of your data collected within the service.

How do I access my Data?

Clients have 24/7 access to their data through the service in many forms such as raw data, static reports and dynamic dashboards. Each user of the system can customize their own reports which remain role and permission based. Information can be displayed at the patient, physician, site and organizational level.

What kind of support do I get with the service?

Ortech deploys person to person customer service. Ortech clients are assigned a dedicated client success representative who they can contact directly with any issues, status updates or product implementation advice. Your Ortech client success representative will manage implementation, training and provide on-going support. Your team will also have access to our Support Request System which distributes and tracks requests across our Support Team. In addition to the options above, we also have self guided support vai the help section of the application that houses instructional material and videos. All training sessions are recorded and accessible in this area as well.

What resources are required on my end?

Ortech's application deployment is streamlined and user-friendly, demanding minimal technical expertise. It is essential to appoint a 'super-user' at the client site, tasked with overseeing the Ortech application's management and facilitating communication with Ortech's Support Staff. Throughout the entire training phase and beyond, Ortech commits to providing comprehensive support and training to client staff, covering all facets of the application's functionality. Based on our over 20 years of experience, we cannot stress enough the importance of this designated individual. Given the demands of their role, surgeons cannot be charged with the task to manage the use and support of the application.

Can you interface with my EMR/EHR?

Ortech has a proven track record in interfacing with EMR and EHR applications. Each interface we pursue is unique to the requirements of the clients. The overriding goal is to eliminate double entry of data, create efficiencies, and ensure that health records are up to date with the information collected.

What if I’m not certain of what data I want to or should be collecting?

With our over 20 years of experience, we have accumulated a vast knowledge in dataset definition. If you are not certain on what data to collect, let our experienced team provide guidance. We have over 900 outcome tools pre-programmed and we can also incorporate any custom question that you would like.

Do you help with third party reporting of data I collect using your service?

Ortech keeps apprised of government and payer mandate reporting requirements. We can assist in this regard and can also manage reporting to 3rd party groups. In addition, our clients collect data for the purposes of quality assurance, internal best practices, improving patient engagement and marketing. During the implementation process we review any reporting requirements and can help to develop reports needed for submission.

What are your capture rates?

Capturing Patient-Reported Outcomes (PROMs) is a complex task that doesn’t have a one-size-fits-all solution. It requires a multifaceted approach to effectively gather this vital data. Key strategies include the use of diverse, modern tools, minimizing technological barriers, enhancing patient education and awareness, and fostering Care Provider engagement. Research indicates that patient portals often fail to add significant value and instead increase technological challenges. Consequently, Ortech focuses on delivering tailored information to patients at the right time, a strategy that not only lowers technological barriers but also boosts patient engagement.

How is my data secured?

Ortech has a steadfast commitment to data security and risk management. Our technical infrastructure, policies and procedures are subject to yearly third party audits for SOC2, ISO and penetration testing. Our comprehensive Information Security Management Program is assessed and updated regularly following best practices in data security.

Do you have benchmarking capabilities?

Ortech clients have the option to opt into an internal benchmarking feature, which allows them to compare their results against de-identified data from a collective data repository. There is also the ability to bring in published results from national registries to benchmark against. The benchmarks are a graphing feature that can be toggled on or off to compare against aggregate data of matched cohorts.

What is your pricing structure?

The application is priced per surgeon/care provider and the modules each would like to subscribe to. There are no restrictions to case or patient count and a surgeon/care provider can have an unlimited amount of supporting users (such as PAs, coordinators, service line managers, research staff, executives, etc) as are needed. A standard fee schedule is followed to make pricing easy and volume based pricing tiers provide discounts for multiple providers. There are added fees if interfacing is required, but those are flat fees per project and are independent of the number of providers.
